Set Up Your Bliro Phone Assistants Vicky & Tim

Learn how to set up Vicky and Tim, your personal AI phone assistants that help you transcribe conversations, update your CRM, and automate post-meeting tasks - all by phone.

What are Vicky & Tim?

Vicky and Tim are your personal AI phone assistants - two voice agents you can call directly from your phone to automate your sales busywork, hands-free. They are identical in functionality; you simply choose the voice you prefer.

Here's what your phone assistant can do:

  • Create visit reports - Dictate a summary after a customer meeting and have it formatted and pushed to your CRM automatically

  • Update CRM records - Tell Vicky or Tim what happened in a meeting and they'll update the relevant fields in Salesforce, HubSpot, or SAP

  • Draft follow-up emails - Describe what you want to say and your assistant will write the email for you

  • Prepare for upcoming meetings - Ask for a briefing on your next customer before you walk in the door

  • Transcribe voice memos - Use the phone app to record a quick note and have it processed automatically

Vicky and Tim are designed for field sales reps - perfect for use in the car before or after customer appointments, when typing isn't practical.

Step 1: Open Your Account Settings

Go to your personal settings at https://app.bliro.io/settings/account.

Scroll down to find the Phone Assistant section and click "Set Up Phone Assistant".

Step 2: Enter & Verify Your Phone Number

Enter the mobile phone number you want to use to call Vicky or Tim. You will receive a verification code via SMS - enter it to confirm your number.

Note: Make sure to use the number you'll be calling from. Calls from unverified numbers will not be recognized.

Step 3: Choose Your Assistant

Select either Vicky or Tim as your personal assistant. Both are identical in functionality - the choice is purely about which voice you prefer.

Step 4: Connect your Calendar

This step is optional and will not appear if you have already integrated your calendar before setting up Vicky and Tim.

Make sure to integrate your calendar to Vicky and Tim have access to your calendar to prepare you for your day, create calendar events and more.

Step 5: Connect your E-Mail program

This step is optional and will not appear if you have already integrated your E-Mail Program before setting up Vicky and Tim.

Make sure to connect your E-Mail program to Vicky and Tim so they can read and write E-Mails for you.

Step 6: Connect your CRM

This step is optional and will not appear if you have already integrated your CRM before setting up Vicky and Tim.

Certain CRM Systems (like SAP C4C) require admin set-up before users can integrate it.

Make sure to connect your CRM System to Vicky and Tim so they can access CRM data and update the CRM on your behalf.

Step 7: Scan the QR Code & Save as a Contact

After selecting your assistant, a QR code will appear. Scan it with your phone - this will save Vicky or Tim's phone number directly to your contacts so you can call them with one tap.

Make sure to save the contact so you can easily find and call your assistant from your phone's contact list or favorites.

Once you scan the QR code you will be prompted to open the Bliro App.

Chose the option "Save to Contacts" inside the Bliro app.

And click done.

You will see a success screen and can do your first call to Vicky or Tim.

Vicky and Tim are always available as your personal assistants in your phone's contacts.

How to Use Your Phone Assistant

Transcribe a Conversation or Voice Memo (Optionally)

You can use the Bliro phone app to transcribe a conversation or dictate a voice memo directly. The audio is processed automatically - no manual upload needed. This is useful for capturing notes immediately during or after a customer visit before you forget the details.

Call Vicky or Tim

Simply call Vicky or Tim from your phone - just like calling a colleague. Once connected, speak naturally. You can:

  • Tell them what happened in your last meeting

  • Ask them to create a visit report

  • Ask them to push data to your CRM

  • Ask them to draft a follow-up email

  • Ask for a briefing before your next appointment

Example: "Hey Vicky, I just finished a meeting with Max Müller at Acme. Please create a visit report and push it to Salesforce."

Triggering Skills with Phrases

Vicky and Tim work through skills - specific workflows your company has configured that get triggered when you use certain phrases. For example:

  • Saying "create a visit report" triggers the Visit Report skill

  • Saying "draft a follow-up email" triggers the Email Drafting skill

  • Saying "update the opportunity" triggers a CRM update skill

Your admin can configure custom skills and trigger phrases. Ask your Bliro admin which skills are available in your account, or check with your Bliro onboarding contact.

Find Everything on the Bliro Platform

All your conversations with Vicky and Tim are saved on the Bliro platform under Assistant Chats: https://app.bliro.io/agent

From there you can:

  • Review and edit the outputs from your calls (visit reports, emails, CRM updates)

  • Start a conversation by phone and finish it in the web interface

  • Chat with Vicky or Tim directly via text if you prefer not to call
