How to manage licenses for your organization

Learn how to check your organization's Bliro licenses, assign them to the people who need them, and add licenses to your license pool. It also explains what happens to licenses when colleagues join or leave.

Who this article is for: Organization admins. Only admins can assign licenses and change the license pool.

What are Note Taker and Sales Assistant licenses?

Bliro offers two licenses: Note Taker and Sales Assistant. Each person in your organization can hold no license, one license, or both. The two licenses are independent of each other: one does not include the other, and neither is a higher tier.

  • Note Taker: meeting transcription, summaries and meeting templates, Groups to organize your meetings, and calendar integration.

  • Sales Assistant: the phone assistants Vicky & Tim, plus CRM and email integrations.

People & Companies is included in both licenses.

Note Taker fits anyone who wants their meetings documented. Sales Assistant fits people who use Bliro to drive sales.

What a person can open in Bliro depends on the licenses assigned to them. This applies in the web app, the mobile app, the desktop app and the phone assistant.

Can someone use Bliro without a license?

Yes. A person without a license can still sign in to Bliro, but can only open Settings. Every other area shows a message asking them to contact their organization admin. This is useful for colleagues who help set up Bliro but don't use it themselves.

Assistant chats are available to everyone in your organization, regardless of licenses.

Where can I see my organization's licenses?

You can see your organization's licenses on the Members page in your Bliro settings.

  1. In the Bliro web app, click your account icon at the bottom left. It shows your initials or profile picture.

  2. Under Organization settings, select Members.

  3. At the top of the Members page, you'll see the Licenses section with one bar per license.


​Each license bar shows two numbers: the licenses assigned to members, followed by the total number of licenses in your pool. Example: "Note Taker 32/33" means your pool contains 33 Note Taker licenses, 32 are assigned to members, and 1 is still available.

How do I assign or unassign a license for a member?

You assign and unassign licenses per person in the License column of the member list on the Members page.

  1. Open the Members page (Settings > Organization settings > Members).

  2. Find the person in the member list.

  3. In the License column, open the dropdown next to their name.

  4. Select the license you want to assign: Note Taker, Sales Assistant, or both. To unassign a license, deselect it.

Result: The License column shows the person's licenses, and the bar in the Licenses section updates.

When you unassign a license, it goes back to your license pool and you can assign it to someone else right away.

How do I add licenses to my license pool?

You add licenses to your pool yourself with the Manage licenses button on the Members page.

  1. Open the Members page (Settings > Organization settings > Members).

  2. In the Licenses section, click Manage licenses on the right.

  3. The Manage licenses window opens with one field for Note Taker and one for Sales Assistant.

  4. Click + to add licenses.

  5. Click Save Changes. The button only becomes active after you change a number.

Result: Bliro shows the message "License pool updated successfully", and the license bars show the new total. To close the window without making changes, click Cancel.

To reduce the number of licenses, contact your account executive or Customer Success.

How are license changes billed?

Added licenses are billed on your existing subscription, prorated.

No licenses available when assigning a license

If all licenses of one type are already assigned, Bliro shows that no licenses are available. You have two options:

  • Add licenses to your pool with Manage licenses (see above). Added licenses are billed prorated.

  • Unassign the license from another member so it goes back to the pool.

When does a license go back to my license pool?

The table below shows which member actions return a license to your organization's license pool.

No, the license stays reserved for this member

Suspending a member keeps their license reserved. Suspending blocks the member's login, but their license still counts as assigned. If you want to give the license to someone else, unassign it from the suspended member first. For more on removing and deleting members, see Data and Account Deletion in Bliro.

Do colleagues who auto-join get a license?

No. Colleagues who join through Auto-join for matching domains start without a license. They can sign in and open Settings. Assign them a license on the Members page.

What happens if a colleague signs up without joining our organization?

Anyone who signs up with an email domain that isn't linked to an organization automatically gets their own new organization with one Note Taker license, so they can start using Bliro right away. To make sure colleagues join your organization instead, add your company's email domains under Organization Domains in your organization settings.

Are license changes logged?

Yes. Every change to license assignments and to your license pool is logged.
