You can now easily share your transcribed meetings with specific teams and colleagues within your organisation, making collaboration seamless and keeping everyone on the same page.
Getting Started: Creating a Group and Sharing Your Meetings
To begin, find the "Groups" section on the left-hand side of your dashboard and click the '+' icon. Here you can give your new group a name and a description to clarify its purpose. Feel free to chose different icons for your group by clicking on the folder symbol.
Once you have a meeting ready to share, navigate to its meeting notes within the Bliro Webapp. Click the three-dot menu on the right and select “Add to group.” From here, you can choose which group you want to share the meeting notes with and click save. You can also create a new group directly from this menu if needed.
After a meeting has been shared, you will see the group's name displayed at the top right of your meeting notes, just under the headline. This not only confirms that the meeting is shared but also allows you to click on it to change the group assignment at any time.
Managing Your Groups and Inviting Team Members
To control who has access to a group, simply select the group and click the "Share" button at the top right. This will open the sharing settings, where you can add team members who need access to the meeting notes. Below the invitation field, you can view a list of all current members. If you need to remove someone's access, just click on their name and click on “remove”.
Granular Permission Roles
Shared Groups now support four distinct roles to make access management more flexible:
Role | Description |
Contributor | Can view own calls in the group |
Viewer | Can view all calls in the group |
Editor | Can view and edit all calls in the group |
Owner | Can view and edit all calls in the group plus ability to share the group and manage permissions. |
Private Per-User Notes & Ask Bliro
Each team member can now take private manual notes and use Ask Bliro on shared meetings - just like they would on their own calls.
These notes and AI dialogs are stored per user, meaning they are only visible to the person who created them. This ensures everyone can analyze shared meetings independently while maintaining full privacy.
Auto-Sharing in Bliro Groups
Auto-Sharing allows Group Owners to define simple rules that automatically share matching calls with their group. Group members only need to opt in once and after that, every relevant call from now on (no old call prior to this set up) flows in automatically.
Why Auto-Sharing?
Teams with high call volume often struggle with manual sharing. It takes time, it's easy to forget, and important conversations can slip through the cracks.
Auto-Sharing fixes this by:
Reducing manual work for reps
Ensuring key calls never go unseen
Increasing visibility across teams with zero daily effort
How Auto-Sharing Works
1. Managing Auto-Share Rules (For Group Owners)
Open your group
Go to Auto-Share
Click Add Rule
Owners can define conditions such as:
Any new meeting
Participant’s email (f.e. Participant’s email ends with @bliro.io)
Call title (f.e. Call title starts with “Internal”)
Call owner
Account name (from CRM system)
Opportunity name (from CRM system)
You can add one or multiple rules depending on how specific you want the automation to be.
Choose your filter type (e.g. email, call title)
Save
Group members will be notified automatically
2. Group members are notified
Whenever a Group Owner creates or updates an Auto-Share rule:
Members receive an email notification
A banner appears inside the group prompting them to review the new rules
This ensures full transparency.
3. Members must opt in
Auto-Sharing only works after a member accepts the updated rules. The rules are member specific, meaning that once you accepted the rule you can see all the calls belonging to the group.
Members can:
Accept Sharing → New matching calls will be added automatically
Deny Sharing → No automatic sharing will occur
This gives every member control over their call visibility.
4. Only new calls are affected
Auto-Share rules do not apply retroactively. If you were added later to the group you can still see all the calls visible in the group. Once a member accepts the rules, only calls created from that moment forward are automatically added to the group.
If your role within the group is a “contributor” you are only able to see your own calls as that is the role setting. For further information on group roles see here.
